When you book an appointment at PalmLeaf, that time is reserved specifically for you and your provider. We understand that plans can change, so we keep our policy simple and fair for everyone.

50% Reservation Fee
A 50% reservation fee is required to secure your appointment and is applied toward your service. If you cancel, reschedule, or change your appointment within 24 hours, the 50% reservation fee is non-refundable. No-shows are also charged the 50% reservation fee.
Same-Day Booking? You Have 3 Hours.
If you book an appointment for the same day, you receive a 3-hour grace period from the time you book. If something comes up during those 3 hours, you may reschedule without penalty, and your reservation fee will transfer to the new appointment.
After the 3-hour grace period, the regular 24-hour cancellation policy applies.
A Few Examples
More than 24 hours before: Your appointment is Friday at 2 PM and you cancel before Thursday at 2 PM. No cancellation fee. Within 24 hours: Your appointment is Friday at 2 PM and you cancel Friday morning. The 50% reservation fee is retained. Same-day booking: You book at 10 AM and need to reschedule at noon. You are still within the 3-hour grace period, so there is no penalty and your reservation fee transfers. Illness or unexpected situation: We understand that illness and personal emergencies happen. If the cancellation is within 24 hours, the 50% reservation fee still applies.
Insurance, HSA & FSA
PalmLeaf does not accept or bill medical insurance. Therapeutic services may qualify for reimbursement through your Health Savings Account (HSA) or Flexible Spending Account (FSA), depending on your healthcare plan. HSA/FSA cards are not accepted through our scheduling and payment system, so payment must be made with an accepted standard credit card. You may submit your PalmLeaf receipt to your HSA/FSA provider for possible reimbursement. Please consult your benefits provider to determine eligibility.
Why We Have This Policy
Our providers reserve this time for you and prepare for your appointment. When an appointment is cancelled at the last minute, we may not have enough time to offer that opening to another client. The reservation fee helps protect your appointment time and fairly compensate the provider who reserved that time for you.
