When you book an appointment at PalmLeaf, that time is reserved specifically for you and your provider. We understand that plans can change, so we keep our policy simple and fair for everyone.

24-Hour Cancellation Policy
At PalmLeaf, we respect your time and the time our providers reserve specifically for you.
A credit card on file is required to secure your appointment, but nothing is charged when you book. You will pay for your service at the clinic on the day of your appointment.
If you need to cancel, reschedule, or make a change, please give us at least 24 hours' notice. Changes or cancellations made within 24 hours will be charged a 50% cancellation fee based on the scheduled service. No-shows will also be charged 50%.
A Few Examples
More than 24 hours before:
If your appointment is Friday at 2 PM and you cancel or reschedule before Thursday at 2 PM, there is no cancellation fee.
Within 24 hours:
If your appointment is Friday at 2 PM and you cancel or reschedule Friday morning, a 50% cancellation fee will be charged to the card on file.
Illness or unexpected situations:
We understand that life happens and sometimes plans change unexpectedly. However, when a cancellation or change is made within 24 hours, the 50% cancellation fee still applies.
Insurance, HSA & FSA
PalmLeaf does not accept or bill medical insurance.
Some of our therapeutic services may qualify for reimbursement through your HSA or FSA, depending on your plan. HSA/FSA cards are not accepted through our scheduling and payment system, so payment must be made using an accepted standard credit card.
We can provide you with a receipt that you may submit to your HSA/FSA provider for possible reimbursement. Please check with your benefits provider regarding eligibility.
Why We Have This Policy
Our providers set aside your appointment time specifically for you. When an appointment is cancelled at the last minute, we may not have enough time to offer that opening to another client.
The 50% cancellation fee helps compensate your provider for the time they reserved for you, as their income is based on the appointments they provide.
We understand that things come up. If you need to make a change, please contact us as soon as possible. We will always do our best to help.
We thank you in advance for your understanding. Just as we respect your time, we kindly ask that you respect the time our providers have reserved for you. This helps us keep appointments available for everyone.
