Appointments & Scheduling
Appointments are subject to availability. Clients are responsible for providing accurate contact information and reviewing appointment details. PalmLeaf may adjust appointments when necessary due to provider availability, emergencies, or circumstances beyond our control.
Cancellation Policy
A 50% reservation fee is required to secure your appointment and is applied toward your service. If you cancel, reschedule, or change your appointment within 24 hours, the reservation fee is non-refundable. No-shows are also charged the 50% reservation fee. Same-day bookings receive a 3-hour grace period from the time of booking to reschedule without penalty; the reservation fee transfers to the new appointment. After the grace period, the regular 24-hour policy applies. Please review our full 24-Hour Cancellation Policy.
Late Arrivals
Late arrivals may result in a shortened session to avoid delaying the next client. The full scheduled service price may still apply.
Services & Treatment
Clients must provide accurate health information before treatment. Our services are not a substitute for emergency medical care or treatment from a qualified healthcare provider. PalmLeaf may decline, modify, or discontinue services when treatment is considered inappropriate or unsafe.
Pricing & Payment
Prices and fees are subject to change. Payment is due at the time of service unless another arrangement has been established. A valid standard credit card may be required to reserve an appointment.
Insurance, HSA & FSA
PalmLeaf does not accept or bill medical insurance. Therapeutic services may qualify for reimbursement through your Health Savings Account (HSA) or Flexible Spending Account (FSA), depending on your healthcare plan. HSA/FSA cards are not accepted through our scheduling and payment system, so payment must be made with an accepted standard credit card. You may submit your PalmLeaf receipt to your HSA/FSA provider for possible reimbursement. Please consult your benefits provider to determine eligibility.
Memberships
PalmLeaf Wellness Memberships are governed by the terms provided at enrollment, including applicable pricing, benefits, credits or points, rollover, family sharing, fees, and cancellation requirements. Please review the current Membership details before enrolling.
Gift Certificates & Promotions
Gift certificates, promotions, discounts, Groupons, and special programs may have separate eligibility requirements, expiration dates, and restrictions. Promotions generally cannot be combined unless otherwise stated.
Vagaro & External Services
PalmLeaf uses Vagaro for scheduling and certain account, payment, membership, gift card, and communication services. Third-party websites and services are subject to their own terms and privacy practices. PalmLeaf is not responsible for their content, availability, products, services, or policies.

We make reasonable efforts to keep our website accurate, but services, pricing, availability, schedules, promotions, and policies may change. Website content is for general information and should not be considered medical advice.
Intellectual Property
PalmLeaf’s name, branding, website content, photographs, graphics, and other materials are owned by or licensed to PalmLeaf unless otherwise stated and may not be commercially reproduced without permission.
Privacy & SMS
Use of our website and services is also subject to our Privacy Policy and SMS Policy.
Client Conduct
PalmLeaf is committed to a professional, respectful, and safe environment. Harassment, threatening or abusive behavior, sexual misconduct, or other inappropriate conduct will not be tolerated. PalmLeaf may refuse or discontinue service when necessary.
Changes to Pricing, Policies & Terms
PalmLeaf reserves the right to change its pricing, services, policies, procedures, membership terms, promotions, fees, and these Terms & Conditions without prior notice, except where notice is required by law. Changes become effective when implemented or posted on our website or scheduling system. Clients are responsible for reviewing current pricing and policies before booking or purchasing services.
Limitation of Liability
To the extent permitted by law, PalmLeaf is not responsible for indirect, incidental, or consequential damages resulting from use of our website, external websites, scheduling platforms, or services. Nothing in these Terms limits rights or responsibilities that cannot legally be excluded.
